This Privacy Policy explains how SurfaceWorks ProWash Limited (“SurfaceWorks ProWash,“ “we,“ “us,“ or “our“) collects, uses, stores, and protects information when you visit our website, request an estimate, or otherwise communicate with us. By using our website or submitting information to us, you agree to the practices described in this policy.

Information We Collect

We collect information you provide directly to us, including:

• Contact and lead information — name, phone number, email address, and property address, submitted through our estimate request form, contact form, phone calls, or messages.
• Property and project photos — photos you upload with an estimate request, and photos we take of your property before, during, or after a completed project.
• Service details — the type of service requested, property type, preferred contact method and timing, and any message or notes you provide.
• The property record — the address you give us is stored once as a property, with its county, its map coordinates and, when you or we add them, the building’s type, stories, siding and roof, and the access notes we need at the curb (water source, gate code, pets, parking, hazards). For an online estimate we also look up and store the county’s parcel record for the address: the parcel number, the living area, the year built and the stories. If you type your square footage yourself, it is stored the same way and labelled as yours.
• Communications — records of calls, texts, emails, and messages exchanged with us regarding an estimate, scheduled work, or completed project, including texts you send to our business number and every automated text or email we send you (see Text Messages below).
• The record of your decision — an estimate records when its link was first and last opened and, when you accept it, how, where and from which internet address you did so. That is the record that shows the sale was made away from the home, which is the fact Ohio’s cancellation rules turn on. Invoices and change orders record when they were opened and signed the same way.
• Billing information — for customers who proceed with service, invoicing details, payments, credits and refunds recorded in our own books. Full card numbers are never stored on this website.

We do not knowingly collect information from children, and our services are directed at adults seeking residential or commercial exterior cleaning services.

How We Use Your Information

We use the information we collect to:

• Respond to estimate requests and prepare accurate quotes;
• Schedule, perform, and follow up on service appointments;
• Communicate with you by phone, text, or email about your request, appointment, or completed project;
• Send invoices and process payments for completed work through our accounting provider;
• With your consent, use before/after project photos or testimonials in our marketing, including our website, Google Business Profile, and Facebook page; and
• Maintain business records, respond to inquiries, and comply with legal obligations.

How We Store Your Information

Estimate requests, customer records, and uploaded photos are stored using Supabase, a cloud database and file storage provider. Access to this data is restricted to authorized personnel of SurfaceWorks ProWash and is protected by authentication and access controls. Estimates, invoices, and billing records are generated and stored within this same system. We generally retain lead, customer, estimate, and invoice records for up to seven years to meet our accounting and tax recordkeeping obligations and to maintain an accurate business history of past projects. We do not sell your information, and we do not share it beyond the service providers described below. If you would like your information deleted sooner, contact us using the information below and we will honor reasonable requests where we are not required to retain records by law.

Your private link. Every customer has one private web address — the hub — that shows their visits, estimates, invoices, change orders and the photos we took of their property. Each estimate, invoice, change order and condition report has a private link of its own that works the same way. There is no password: anyone holding the link can open what it shows, so treat it like a key and ask us to reissue it if it was shared by mistake. We record when the hub was last opened.

Receipts and certificates. Our own purchase receipts, and a tax-exemption certificate you give us, are stored in private storage for bookkeeping and are not shared with anyone except our accountant and the tax authorities when required.

Messages and call logs. Texts and emails in both directions are kept on your customer record as part of the service history for as long as the record itself. Calls to a printed tracking number are logged with the caller’s number, the time, the duration and whether the call connected; calls are not recorded.

How We Share Your Information

We do not sell your personal information to third parties. We share information only with the service providers that allow us to operate our business, including:

• Supabase, which hosts our lead, customer, property, message and photo data and the private files above;
• Our estimating and customer-records software, which our forms and instant estimator send your request to, and which prices your estimate and keeps your record. It is built to serve more than one contracting business, and your name, contact details, estimates, jobs and invoices are kept for SurfaceWorks alone — no other business that uses the same software can see them. What that software shares between businesses is information about buildings that is not about you: public county records and measurements of roofs and paved surfaces taken from public aerial surveys;
• Google, in three ways. When you type an address on one of our forms, the text you type is sent to Google’s address-suggestion service (Google Places) from your own browser so it can offer matching addresses. When we plan a day’s route, the coordinates of your service address and the neighbouring stops are sent to Google’s routing service to work out the drive time between them. And each visit is mirrored as an event on our company’s Google Calendar with the type of visit, your first name, the address and your private link; nothing is read back from that calendar except when it is busy;
• Twilio, which carries our text messages in both directions and routes calls to a printed tracking number to our business line, and which therefore sees your phone number, the text of messages, and the time and length of those calls;
• Cloudflare Turnstile, which runs on our forms to tell people from bots and may set a cookie or read device signals to do so;
• The National Weather Service, which receives the coordinates of your property so we can read the forecast for your visit;
• The county auditor — for an online estimate the address may be looked up against the county’s public property record to find the living area of the home;
• Google Analytics, on the public pages of the site only (never in the owner workspace), for traffic and conversion measurement; see Cookies and Analytics below;
• Google Business Profile and Facebook, where we may publish project photos, reviews, or updates as part of our marketing, using only content we have the right to share; and
• Government authorities or other parties, only when required by law, subpoena, or legal process, or to protect the rights, property, or safety of SurfaceWorks ProWash, our customers, or others.

Text Messages

Text messages are optional and separate from everything else on this page. You are never required to agree to them, and declining has no effect on any service you receive from us.

How you opt in. By ticking the text-message box on our estimate request form, callback form, booking form or instant estimate, which is separate from the other consent boxes and is not checked for you, or by texting START to our business number. Ticking it means you agree to receive recurring automated text messages from SurfaceWorks ProWash about your estimate, your appointments, and your service, including a request for feedback after the work is done.

How you opt out. Reply STOP to any message and we stop, permanently and immediately. Reply HELP for help, or contact us at info@surfaceworksprowash.com or 234-410-9200. An opt-out you give us by phone, by email or in person is recorded the same way. Stopping texts changes nothing about your service.

Texts you send us. A text to our business number is stored on your record the moment it arrives, and a copy is forwarded to the owner’s mobile phone so it is not missed. Our reply comes from the business number.

Frequency and cost. Message frequency varies with the work you have booked. Message and data rates may apply, charged by your mobile carrier rather than by us.

We do not share your mobile number or your text-message consent with anyone for their marketing. Mobile opt-in data and consent are never sold, rented, or shared with third parties for their own marketing purposes. They are used only to send you the messages described above.

What we keep. When you agree to text messages we record that you agreed, when, the page you agreed on, and the exact wording you were shown, so both sides have an accurate record of what was agreed. When you opt out we record that too — the date, and how it reached us — and we keep both records rather than deleting them, so that a number that asked us to stop stays visibly stopped.

Address Look-ups on the Estimator

When you type an address into our instant estimator, we record which property was looked at, when, and a scrambled, one-way code derived from your internet connection — not your IP address itself, and nothing that can be turned back into it. We do not store your address against that code, and this record is not connected to you as a person unless you go on to give us your name and contact details.

We keep it for one reason: the measurements behind those prices are ours, and they cost us real money to produce. The code lets us tell that the same connection has looked up twenty different houses without knowing whose connection it is. Somebody checking their own home, or a handful of properties they own, is never affected. If a connection looks up a great many different properties we stop showing the per-property measurements to it — every published price on this site still applies, and you can always call us.

These records are kept for a short period and are never sold, never shared for advertising, and never used to work out who you are.

Cookies and Analytics

The public pages of our website load Google Analytics, which uses cookies to measure visits, where they came from, and whether a visit led to a call or an estimate request. It is not loaded in the owner workspace or on the sign-in page. The spam gate on our forms (Cloudflare Turnstile) may also set a cookie to tell people from bots. We do not use advertising trackers, we do not sell or share browsing information, and we do not track visitors across other websites.

Three further things are recorded, all described here in full:

• Where an estimate request came from. If you arrive from a link that includes campaign tags (for example, a link in an ad or a printed flyer), those tags, the first page you landed on, and the referring website your browser reports are held in your browser’s session storage and attached to your request if you choose to submit one. This tells us which advertising is actually working. It is cleared automatically when you close the tab, is never used to identify you, and is not shared with anyone. If you do not submit a request, it is never sent to us at all.
• Property lookups on the instant estimator. When an address is looked up, we record which property it was, when, and a one-way hashed form of the network address it came from, so that the measurements we hold cannot be copied in bulk. It is not used to identify you, it is not shared, and it is deleted after 30 days.
• Search engine and AI crawler visits. We record visits by automated crawlers (such as Google, Bing, and AI assistants) so we can tell whether our pages are being found. This records the page requested, the crawler’s identifier, and a one-way hashed form of its network address. Ordinary visits by people are not recorded.

If either of these changes, we will update this Privacy Policy to describe what is collected and how it is used.

Photos and Marketing Use

Property and project photos are used primarily to document work, prepare estimates, and support quality and warranty follow-up. We may also use before/after project photos in our marketing, including on our website, Google Business Profile, or Facebook page. We do not publish a customer’s name, exact address, or other identifying details alongside project photos without consent. If you would prefer that photos of your property not be used in marketing, let us know and we will honor that request.

Your Rights and Choices

You may contact us at any time to:

• Ask what personal information we hold about you;
• Request a correction to inaccurate information;
• Request that we delete your information, subject to our legal and accounting recordkeeping obligations; or
• Withdraw consent for the marketing use of your photos or testimonial.

To make a request, contact us using the information below. We will respond within a reasonable time.

Data Security

We use reasonable administrative and technical safeguards to protect the information you share with us, including restricted access to our Supabase database and storage. No method of electronic storage or transmission is completely secure, and we cannot guarantee absolute security of your information.

Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or for legal or operational reasons. The “Last updated“ date at the top of this page reflects the most recent revision. Continued use of our website or services after an update constitutes acceptance of the revised policy.
